“Not passing ATS” can describe several different problems: a file will not upload, information fills incorrectly, an application stops at a requirement question, or no interview follows. These need different checks. Silence alone cannot identify a parsing failure.
This guide diagnoses an observed application problem. For preventive layout advice, see ATS-friendly resume formatting; for a starting document, use the one-page template.
First identify what actually happened
Record the exact error or visible symptom. Did the upload fail? Did the file attach but leave fields empty? Did the form reject a required answer? Or did you successfully submit and then hear nothing?
Keep the vacancy URL, submitted filename and confirmation. Do not share passwords or private application details in a public discussion while asking for help.
If the file will not upload
Check the accepted file types and size limit on that application. Confirm that the file opens locally and is the intended resume rather than a temporary or corrupted export. Re-export from the editable source in an accepted format.
Avoid uploading a photograph of your resume. If the system gives a specific error, address that message first. If a valid file still fails, use the employer’s advertised application support contact and include a concise description of the error.
If fields fill incorrectly or stay blank
Check whether the words in the exported document can be selected and copied. Review the text order, contact details and section headings. Simplify a complex column or text-box layout and try an accepted text-based document when the form permits.
Greenhouse documents unsuccessful parsing as a problem importing resume information into profile fields. Its guidance says a resume can remain attached even when those fields need manual entry. This does not establish automatic rejection, and other systems can behave differently.
Review and correct all editable application fields before submission. Check dates and education as well as your name and email. A successful attachment is not proof that every field was extracted correctly.
If an eligibility question blocks progress
Read the question and answer accurately. It may concern a required qualification, licence, location, availability or another condition. Do not change a truthful answer just to reach the next screen.
If the question is ambiguous, contact the employer through its advertised channel. The experience requirements guide explains how to distinguish required conditions from preferences. A formatting change cannot replace a qualification you do not hold.
If submission succeeded but no response followed
There is no visible evidence of a parser failure merely because you did not receive an interview. Check the confirmation and contact details, then assess role fit and the evidence in the resume.
Use the no-interview diagnostic checklist for that broader review. If you are unsure whether the application arrived or when to follow up, use the submission and callback checks.
Do not repeatedly purchase or chase third-party “ATS scores” as if they were the employer’s decision rule. A tool’s assessment cannot establish why a particular employer did not respond.
Check keywords without inventing skills
Use accurate names for relevant tools and tasks. If the vacancy asks for spreadsheet work and you can sort lists and use basic formulas, say that clearly. Do not copy software, licences or years of experience you lack.
Connect skill names to actual examples. The skills evidence guide helps make those claims specific. Keyword repetition or hidden text does not supply missing evidence.
Make one supported correction at a time
An unreadable file needs a document fix. Incorrect fields need review. An unmet essential requirement calls for clarification or a different vacancy. A weak description of relevant work needs clearer evidence.
Keep a record of the correction and inspect the result before submitting. The goal is a complete, accurate application that the employer can assess, not a universal “pass” that no applicant can verify.
